The Role

Duties Will Include
Office Responsibilities
  • Reception duties, including answering telephone calls and taking messages, meeting and greeting clients and visitors, and providing refreshments
  • Processing internal and external mail
  • Monitoring stock control of stationary, printed materials and office supplies, as well as assisting with ordering
  • Liaising with other members of staff and external contacts
  • Providing general support to the fee earners (as required)
  • Assisting with photocopying requests
  • Modifying and printing A1 plans
  • Archiving of files and scanning
  • Maintaining organised storage of paperwork, documentation and electronic information
  • Setting up and maintaining office systems
  • Assisting with audio typing and mail shots
  • Assisting with setting up and organisation for training and events
  • Filing and shredding
  • Dealing with general office enquiries
  • General administration and any other general tasks as required for the effective running of the practice
  • General tidying duties

    Accounts Responsibilities
  • Dealing with incoming cheques and direct bank payments
  • Processing and printing of cheques
  • Updating payments in the credit control schedule
  • Producing credit control lists
  • Inputting and filing of timesheets
  • Filing paid and unpaid invoices
  • Producing and reconciling the audit trail
  • Banking
  • Sending out credit control schedules
  • Producing group and general bills
  • Producing lists of invoices not received
  • Reconciling court advertising
  • Preparing client reports for client money 'pots' (reserves)
  • Production of work in progress and billing guides for fee earners

  • Processing clients credit/debit card payments
  • Dealing with all general accounts queries
  • Filing and shredding
  • Accounts administration and any other general tasks as required
  • Assisting with practice management administration as required
  • Assisting with training of junior members of staff
  • Supervising the archiving and scanning of completed files

    Skills Required
  • Good attention to detail
  • GCSE in Maths & English (or equivalent)

    The successful candidate will study a Level 2 qualification in Business Admin . This will be aided by an Assessor who will carry out all assessments as work based learning, within the workplace.

    Progression Opportunities
    Option to move into the accounts side of the business. All previous apprentices have stayed with the business at the end of their apprenticeship.
